This Shipment & Payment Policy outlines how orders are processed, paid, and delivered when purchasing from HQ Hair. By placing an order, you agree to the terms stated below.

1. Order Confirmation and Production

After receiving your inquiry or order, HQ Hair will confirm all details including product specifications, quantity, pricing, and delivery method.

Production will only begin after:

  • All order details are confirmed

  • Payment terms are agreed upon

  • Payment or deposit (if applicable) is received

This process helps ensure accuracy and consistent product quality for every shipment.


2. Payment Methods

HQ Hair accepts multiple international payment methods to support B2B clients:

  • International bank transfer (wire transfer)

  • PayPal

  • Credit and debit cards (Visa, MasterCard)

  • Money transfer services such as Western Union, MoneyGram, or Wise

  • Other methods as agreed with HQ Hair’s sales team

Orders will not be processed until payment confirmation is completed.


3. Payment Terms

  • Payment terms are confirmed individually for each order.

  • For new customers, custom orders, or large-volume orders, HQ Hair may require a deposit before production.

  • The remaining balance must be settled before shipment.

  • All prices do not include customs duties, import taxes, or local fees in the destination country. These costs are the responsibility of the buyer.


4. Order Processing Time

Order processing time depends on product type and availability:

  • In-stock products are usually prepared within 1–2 business days after payment confirmation.

  • Custom or made-to-order products require additional processing time depending on specifications such as length, color, texture, and quantity.

Estimated processing time will be confirmed by the sales team for each order.


5. Shipping and Delivery

HQ Hair provides international shipping to Russia, Europe, and other global markets through trusted logistics partners.

Shipping methods include:

  • Express air courier services

  • Sea freight or rail freight for bulk orders

Estimated delivery times:

  • Express air shipping: 3–10 business days depending on destination

  • Sea or rail freight: 25–45 days for large-volume shipments

Actual delivery time may vary due to customs clearance, local regulations, or carrier operations.


6. Shipping Costs

Shipping fees are calculated based on:

  • Package weight and dimensions

  • Shipping method

  • Destination country

  • Additional services requested

A detailed shipping quotation will be provided before shipment confirmation.


7. Shipping Address Accuracy

Customers are responsible for providing accurate and complete shipping information. HQ Hair is not responsible for delays, loss, or delivery issues caused by incorrect or incomplete addresses provided by the buyer.


8. Damaged, Incorrect, or Lost Shipments

If products arrive damaged or incorrect:

  • The customer must notify HQ Hair within a reasonable time after delivery

  • Supporting photos or videos may be required for verification

HQ Hair will review each case and coordinate appropriate solutions based on the specific situation and carrier policies.

For lost shipments, HQ Hair will assist in tracking and working with the carrier to investigate the issue.


9. Working Schedule

Order processing and shipment handling are conducted during business days:
Monday to Saturday, excluding Sundays and Vietnamese public holidays.
